Position Overview:
The Horse Shoe Farm is seeking a highly organized, client-focused Sales & Events Coordinator to support the planning, coordination, and execution of events while assisting in sales initiatives. This position is ideal for someone who thrives in both administrative and guest-facing roles, has a sharp eye for detail, and is passionate about hospitality and event planning.
Key Responsibilities:
Sales Support:
Assist in managing inquiries, creating proposals, and following up with prospective clients for weddings, corporate retreats, and special events.
Maintain CRM databases, calendars, and lead tracking systems.
Prepare contracts, invoices, and other documentation for client bookings.
Conduct site tours with prospective clients and respond promptly to sales-related questions.
Collaborate with the marketing team to promote event offerings and seasonal packages.
Event Coordination:
Support all stages of event planning, from pre-event preparation through post-event wrap-up.
Serve as the main point of contact for clients in the lead-up to events, ensuring all logistics are captured and communicated.
Create detailed event timelines, layouts, and setup instructions for internal teams.
Coordinate with operational departments to ensure seamless execution.
Oversee event setup, breakdown, and on-the-day logistics, ensuring guest satisfaction.
Conduct post-event follow-ups and assist with invoicing and feedback collection.
Qualifications:
2+ years of experience in hospitality, event planning, or sales coordination.
Experience with boutique hotels, luxury venues, or retreat centers preferred.
Strong organizational and multitasking skills with excellent attention to detail.

The Silo Cookhouse at The Horse Shoe Farm is excited to announce that we are hiring for the position of Server/Bartender. The Horse Shoe Farm is a family-owned, intimate, luxury farm available for accommodations, dining, spa, retreats and events. The Silo Cookhouse, our fine dining restaurant concept, serves locally sourced farm to table ingredients in creative ways.
The Server/Bartender is responsible for ensuring guests have the best possible dining experience that meets The Horse Shoe Farm standard. The Server will greet guests, guide their experience, serve food and beverages, manage guest requests and expectations, and ensure guest satisfaction.
The Server/Bartender will be a Full Time position for dinner service. This is a Tipped Position. There is opportunity for additional hours for multiple events and functions that take place throughout the year.
ESSENTIAL JOB FUNCTIONS:
Greet and serve guests, while promoting the brand’s unique style and high standard of dining experience
Learn and know all menu items and specifications
Prepare dining room and seating area for service, including ensuring greeting area and dining room are clean and tables are set and reviewing menu
Describe menu to guests and answer questions about menu, dining experience and general background on the property
Serve food and beverage, check on guests and expedite exceptional service
Liaise with back of house staff to expedite service
Perform all aspects of bar operation as needed

We are seeking an experienced and service-focused Front Desk Supervisor to lead the guest services team and help uphold the farm’s high standards for hospitality. This role requires leadership, attention to detail, and a proactive mindset.
Key Responsibilities:
Supervise, train, and support front desk staff to ensure smooth daily operations and exceptional guest service.
Greet and assist guests during check-in, check-out, and throughout their stay, maintaining a warm and professional demeanor.
Handle guest complaints and special requests with efficiency and empathy, ensuring satisfaction.
Conduct regular room inspections for cleanliness, presentation, maintenance, and guest readiness, coordinating closely with housekeeping and maintenance teams.

The ideal candidate will play a crucial role in supporting various HR functions, including talent acquisition, employee relations, and benefits administration. Maintain accuracy and confidentiality of employee information with our database and personnel files.
Assist with the recruitment process including job postings, resume review, interviewing, reference checks, job offers and onboarding process.
Send welcome communications and onboarding instructions to new hires.

Roles and responsibilities include but are not limited to:
Front Desk Scheduling (phone, email, online booking), classes (weekly/private), spa treatments.
Provide 5 star client experience from the first moment they arrive, including handling and resolving customer requests, suggestions or complaints in a prompt and efficient manner. Tour, treatment, integration and checkout.
Coordinate groups (bachelorette, large gatherings, work retreats, etc.) and manage details of their spa treatment.
Constant monitoring of schedule to ensure treatment availability for guests, intake forms, special requests (enhancements, chronic illness, contraindications)
Manage spa services, retail, employee/client profiles and reports in Vagaro (online booking system)
Help monitor weekly wellness classes and add to event calendar.
Ensure safety protocol needs for the Spa.
Monitor maintenance issues and coordinate with maintenance staff to fulfill requests.
Light Housekeeping : Laundry, clean and vacuum floors, dust, windows, trash, dishes.
Opening / closing of the Spa (daily setup)
Monitor communication with other managerial staff on Farm (Slack, Grasshopper, Notion)
Demonstrate and maintain excellent and respectful communication skills with therapists, instructors and staff.
Handle customer inquiries, complaints, and feedback in a professional manner.
Monitor Massage Therapists appointment schedule (balancing of their appointments, time off, etc)
Additional skills needed:
Experience in a Spa setting
Experience as a Supervisor or similar role
A plus if you have:
Currently licensed as a Massage & Bodywork Therapist or Esthetician in North Carolina or have been a Licensed Massage & Bodywork Therapist and worked in the industry
